A "Front office" and a "Back office"
Making a choice is not always so easy
The Backoffice is the actual software developed by RealXS. That is the system with which your employees get to work. The Front Office is the request generator for the products offered from the Back Office. That's a website.
Marketing
Through any website, you can provide information about the insurance products you offer.
It could be your company's website, or it could be a website maintained by an adviser, an insurance broker or an authorised agent.
Choice made:
But once the choice has been made, there are some things to take care of
Submit application via the Frontoffice
Via the RealXS Frontoffice, you offer advisors e/o their clients the opportunity to submit a digital application for a chosen product.
application digitally for a chosen product. Only the data necessary for the product must be provided. And only purposeful questions are submitted to the customer.
Robot acceptance
Issuing an offer can be done only after there is certainty about acceptance. Initially, all data is processed in the back office so that the robot assessment set up by the provider can be applied. Applications that fall outside the scope are submitted to an acceptor of the provider.
Making an offer
If there is an acceptance, the Backoffice prepares a quotation as well as a customised IPID (Insurance Product Information Document). In accordance with the European Directives.
Only in special cases, the assistance of a quotation officer will be required.
Sending out quotation
The adviser / client receives by email:
- the quotation by name
- the IPID by name
- a copy of the digital application form
These documents are also stored in the quotation file archive.
Will agreement
If the customer is satisfied with the quotation received, they can order the conclusion of the insurance contract.
Policy document
Almost immediately after issuing the order, advisor and customer receive an email from the Back Office in which:
- the Policy
- the invoice
- another copy of the digital application form
Financial settlement
The Backoffice has then arranged the following:
A customer registration, whether connected to an adviser or not
The quotation file becomes a policy file.
The invoice is booked and, if desired, automatically collected in instalments
The invoice is booked in the provider's general ledger
The invoice is booked in the relevant debtors/creditors sub-administration
The adviser's portfolio is linked to the policy file
And that completes the business.
